Your information, in plain English.
Last updated: October 25, 2026
Viridian Blue Solutions ("we", "us") is a family-run business owned by Wyatt Bunn and Chance McDade, based in Central Illinois. This page explains what information we collect, why, who helps us handle it, how long we keep it, and what you can ask us to do with it.
The short version
- We collect only what we need to talk with you, run your assessment and build what you hire us to build.
- Our assessment interviews are run by an AI voice interviewer. Nobody is recorded without saying yes first.
- Interview recordings are deleted 30 days after we deliver your report, unless you ask us to keep them.
- We don't sell your information, and we don't share it for advertising.
- We don't create or store voiceprints or any other biometric identifiers.
- Please don't share patient records with us unless we've signed a Business Associate Agreement first.

What we collect
- Contact information. Your name, business name, role, email address and phone number, when you email us, book a call or become a client.
- Interview recordings and transcripts. Audio (and video, if the interview happens on a video call) of assessment interviews with you and your team, plus the transcripts and notes we make from them.
- Business documents and details you share. Things like process descriptions, sample emails, forms, price lists, spreadsheets and screenshots. If you give us access to your accounts so we can build Fix #1 or provide support, we can see what's in those accounts while we work.
- Billing records. Invoices and payment history. Card payments are handled by our payment processor. We don't see or store full card numbers.
- Website visits. This site doesn't use advertising or tracking cookies. Like any website, our hosting provider keeps standard server logs (such as IP address, browser type and pages requested) for security and troubleshooting. Our fonts load from Google Fonts, which receives your IP address when the page loads. If we add analytics later, we'll update this page first.
How we use it
- To run the free consultation, the assessment interview, your report, Fix #1 and any support or projects you hire us for.
- To reply to you, schedule calls and send invoices.
- To keep records we're required to keep, such as tax records.
- To improve our own interview questions and methods, using general lessons learned, never your recordings or documents shared outside our business.
We don't use your recordings, transcripts or documents to train AI models. Where an AI provider offers a setting to keep business data out of model training, we turn it on.
The AI voice interviewer
Every assessment starts with an interview run by a voice agent Wyatt built. It's an AI, not a person, and it says so at the start. Before any recording begins, it explains what will be recorded and asks each person on the call for a clear yes. If anyone says no, we don't record them. Instead, we can continue with a person taking written notes, or reschedule.
To hold the conversation, the interviewer sends audio to third-party AI services that turn speech into text, generate the interviewer's questions and produce the transcript. Chance and Wyatt then review the recording and transcript themselves to write your report.
Who helps us handle it
We're a small business, so we rely on a few trusted service providers to do our work. They only receive what they need to provide their service to us, and they're not allowed to use it for their own purposes. They include:
- AI model, speech recognition and transcription providers (for the interviewer, transcripts and the tools we build)
- Website and application hosting
- Scheduling and video-call tools
- File storage, payment processing and accounting
Ask us any time and we'll tell you which specific providers we're using for your project.
We don't sell or rent your personal information, and we don't share it for advertising. We'd only share it otherwise if the law requires it, to protect our rights or someone's safety, or if our business were ever sold or merged, in which case this policy would continue to apply to your information.
How long we keep it
- Interview recordings and full transcripts: deleted 30 days after we deliver your report, unless you ask us in writing to keep them longer.
- Business documents you share: deleted or returned within 30 days after your project ends, unless we still need them for ongoing support you've signed up for.
- Your report: kept so we can support you and answer questions later. Ask us to delete our copy at any time.
- Invoices and contracts: kept as long as tax and business laws require.
- Contact information: kept until you ask us to delete it.
Some providers keep short-term backups under their own policies, so deleted data may take a little while to disappear from their systems completely.
Illinois: recording consent and biometrics
Everyone agrees before anything is recorded
Illinois law requires the consent of everyone in a private conversation before it can be recorded. We ask every participant for permission before recording starts: in a written consent form signed by the business before the interview, and again out loud at the start of the interview. Anyone who says no isn't recorded. We don't record free consultation calls unless everyone on the call agrees.
No voiceprints or other biometrics
We don't create, collect or store voiceprints, face geometry or any other biometric identifiers or biometric information. Our interviewer turns speech into text to understand what was said. It doesn't identify anyone by the sound of their voice. We won't start doing this unless we first tell each person in writing what we'd collect, why and for how long, publish a retention and destruction policy, and get each person's written consent.
Health information and HIPAA
We work with medical, dental and veterinary offices, but we aren't set up to receive protected health information (PHI) by default. We don't use our services for PHI unless we've signed a Business Associate Agreement (BAA) with you first.
Unless a BAA is in place, please don't share patient records, and ask your staff not to use patient names or details during interviews. Describe the work instead ("a patient calls to reschedule"). If PHI reaches us by accident, we'll delete it and let you know. If you handle other confidential information, such as legal or financial client files, tell us up front and we'll plan around it.
Keeping it safe
We use reasonable safeguards: two-factor sign-in on our accounts, access limited to Wyatt and Chance, and encrypted storage and transfer where our providers offer it. No system is perfectly secure. If a security breach affects your personal information, we'll notify you as the law requires.
Your choices and requests
You can ask us to:
- Tell you what information we have about you, or send you a copy
- Correct something that's wrong
- Delete your information, including recordings before the 30 days are up
- Keep your recordings longer than 30 days
- Stop sending you any non-essential emails
Email hello@viridianbluesolutions.com with "Privacy request" in the subject. We'll reply within 30 days. We may need to confirm who you are first, and we may have to keep some records the law requires us to keep.
If you're a client, you're responsible for letting your staff know about the interview and for having the right to share the information you give us. We provide consent materials to make this easy.
Children
Our services are for businesses. We don't knowingly collect information from children under 13.
Changes to this policy
If we change this policy, we'll update the date at the top. If a change materially affects how we use your information, we'll email current clients before it takes effect.
